Return, Refund & Cancellation Policy

At VYBE Creative Media, we are committed to providing professional, high-quality creative and digital services. This Return, Refund & Cancellation Policy explains the terms applicable to payments made for our services.

1. Scope

This policy applies to services provided by VYBE Creative Media, including but not limited to:

• Social Media Management

• Graphic Design

• Video Production

• Video Editing

• Studio Rental

• Photography & Videography

• Presenter Services

• Website Design & Development

• WordPress Maintenance

• Digital Marketing and related creative services

2. Advance Payments

Unless otherwise agreed in writing, a 50% advance payment is required to confirm a project, booking, service package, studio reservation, or production date.

Work or service delivery will commence after the required advance payment has been received.

3. Cancellation by the Client

If a client cancels a confirmed project or booking after payment has been made:

• The advance payment may be non-refundable where VYBE has already allocated resources, scheduled personnel, reserved studio time, purchased materials, or commenced work.

• If the cancellation occurs before any work or resource commitment has commenced, VYBE may consider a refund on a case-by-case basis, after deducting any applicable costs already incurred.

• Any remaining balance will be communicated to the client before the refund is processed.

4. Cancellation or Rescheduling of Studio Bookings

For studio bookings:

• Clients should provide reasonable prior notice for cancellation or rescheduling.

• If a booking is cancelled after resources have been reserved specifically for the client, the advance payment may be retained to cover the reserved time and related costs.

• Rescheduling may be permitted subject to studio availability.

• Repeated rescheduling may require a new booking payment.

5. Completed Services

Payments for services that have already been fully completed and delivered are generally non-refundable.

This includes completed graphic designs, edited videos, social media content, website work, photography, videography, studio sessions, and other agreed creative services.

6. Revisions

Where revisions are included in the agreed package, clients may request revisions within the specified revision limit.

Requests that substantially change the original brief, concept, script, design direction, or scope of work may be treated as additional work and may incur additional charges.

7. Client-Provided Materials

The client is responsible for providing accurate content, information, logos, images, videos, text, access credentials, and other materials required for the project.

Delays or additional costs caused by incomplete, incorrect, or late client-provided materials may affect the project timeline and may be charged separately where applicable.

8. Service Issues or Defects

If VYBE fails to deliver the agreed service due to an error attributable to VYBE, the client should notify VYBE within a reasonable period after delivery.

Depending on the nature of the issue, VYBE may provide:

• Correction or revision;

• Re-delivery of the affected work;

• Rescheduling of the service; or

• An appropriate refund or other remedy where applicable.

Any remedy will be considered based on the specific circumstances and the agreed scope of work.

9. Third-Party Costs

Payments made to third parties on behalf of a client, including but not limited to:

• Advertising platforms

• Domain and hosting providers

• Stock-image/video platforms

• Printing companies

• External service providers

• Paid software or subscriptions

may be non-refundable where the third party has already processed the payment.

10. Refund Processing

Where a refund has been approved, the refund will normally be processed using the original payment method where reasonably possible.

Processing time may depend on the relevant bank, payment provider, or third-party payment service.

11. Force Majeure

VYBE will not be responsible for delays or inability to provide services caused by circumstances beyond reasonable control, including natural disasters, power or internet failures, government restrictions, technical failures, emergencies, or other unforeseen circumstances.

Where reasonably possible, VYBE will offer rescheduling or an alternative solution.

12. Client Approval

Once a design, video, campaign, website, or other creative work has been approved by the client, subsequent changes that fall outside the approved scope may be treated as additional work and may incur additional charges.

13. No Waiver of Legal Rights

Nothing in this policy is intended to remove or restrict any rights or remedies available to a consumer under applicable laws and regulations of Sri Lanka.

14. Policy Updates

VYBE Creative Media reserves the right to update this policy when necessary. The version applicable to a project will generally be the version communicated or agreed with the client at the time the service is confirmed.
